Position Identification

Position Title: Project Manager x 2

Organisation: Islamic Relief South Africa ‘IRSA’

Location: Western Cape office or Kwazulu Natal Office

Contract: One year fixed term

Reports to: Regional Programmes Coordinator (Western Cape) or (KZN)

Grade: TBD


Purpose of Position 

The Project Manager will play a central role in ensuring that the main elements of the project are achieved in a timely and effective manner.


Key Accountabilities


Project Management

  • Execute the project according to project plans and objectives
  • Assuring quality control of project activities, including supporting field teams, reviewing work deliverables, and providing value-added feedback.
  • Technical skills and experience in the areas of agriculture, agribusiness and/or economic growth
  • Agriculture background would advantageous
  • Possess technical skills and substantial experience in youth empowerment, as well as business creation and development.
  • Ensure implementation of the agreed-upon funding proposal and revise the proposal and budget over time, if required, based on input and feedback from key stakeholders.
  • Working closely with individuals and groups supporting the delivery of any activity, determine roles and responsibilities based on activity requirements and timeframes.
  • Ensure that all the documentation for the project is well managed
  • Ability to develop and implement trainings and workshops, and/or conduct assessments and evaluations of project
  • Draft and Manage project MOU’s, contracts and agreements to ensure good project governance
  • Work creatively and analytically in a problem-solving environment demonstrating teamwork, innovation and excellence
  • Report the quality of the work completed with Regional Programmes Coordinator on a regular basis to ensure that it meets the projects standards, targets and objectives
  • Plan community-based activities and ensure visibility, mission and values are upheld
  • Maintain flexibility to any added responsibility in a timely manner
  • Maintain flexibility to take required work trips to the various projects and areas to ensure the smooth running and success of the
  • Have knowledge of community dynamics
  • Train and coach the Assistant Project Manager. The assistant must be autonomous and assume the role and responsibilities of a project manager
  • Develop the collaboration with the Department of Agriculture, Authorities, private sector,
  • Carry out other duties as required

Financial Management and Controls

  • Oversee the efficient administration of the project in terms of finances, keeping of records/minutes and other administrative tasks as
  • Provide timely and high quality finance reports to the Line Manager on the results of the
  • Monitor and track budget expenses vs actuals in consultation with the Programmes Support
  • Update the server with all relevant documents as per project
  • Follow up with procurement department for all requests

Project Monitoring

  • Communicate progress, risks, expectations, timelines and milestones to appropriate
  • Establish and maintain a usable and well-communicated schedule for all phases of the projects, ensuring effective Monitoring and Evaluation system.
  • Conducting regular field visits to ensure effective implementation of projects
  • Provide on-site leadership for project team by building and motivating team members to meet project goals, adhering to their responsibilities and project milestones

Reporting

  • Provide monthly narrative reports
  • Develop regular projects updates and timely narrative activity reports, as
  • Monitor and report on a monthly basis actual expenditure and review the budget requirements if need be with line manager and Support Officer
  • Maintain database management
  • Qualitative reporting and implementation model ensured

Any other duties assigned by the Programmes head of department or RPC

Educational Qualification:

Relevant University Degree


Skills & Knowledge Required

  • Relevant University
  • Minimum of 3 years successful project management experience in the humanitarian
  • Knowledge of the humanitarian and development sectors, and experience with and knowledge of humanitarian standards.
  • Proven skills in leading, reporting, analysing and problem
  • Well-developed organizational and planning
  • Management skills, including strong teambuilding
  • Able to communicate verbally and written in
  • Good Computer Skills (PowerPoint, Word, Excel, Project).
  • Punctuality and respect for rules and
  • Able to work independently, e. with minimal supervision and well under pressure.

Must be able to maintain highest level of confidentiality regarding work-related information and data.
