Position Title:  Communications Department Support Officer
Organisation:   Islamic Relief South Africa
Location:   Western Cape
Contract:   Six months fixed term with a view to permanency
Reports to:   Head of Department – Communications

Purpose of Position

  • Daily management of projects and new requests.
  • Reporting on project status, workloads and accounts.
  • Providing timely communication between relevant departments including digital, accounts and
    creative team.
  • Managing daily schedules
  • Overseeing project resources and assisting with the management of freelance requirements
    and bookings.
  • Holding regular production meetings and status updates.

Key Responsibilities

The job holder must have a keen eye for design, creative passion and flair.

He/She must be highly skilled at running a great campaign from concept through to delivery, as
well as being competent in allocating resources, monitoring and reporting on the status of the
project.

The job holder is also responsible for analysing campaign data and must be effective
communicators.

The potential candidate must be comfortable working within a fast-paced and ever-changing
environment and thrives on daily challenges.

The following are the main responsibilities that the role holder will be accountable for:

  • Leading and co-ordinating campaigns from initial stages through to delivery.
  • Ensuring the stages of the project are met according to client and creative brief, budget,
    resource and deadline deliverables.
  • Monitoring current traffic processes and inputting ideas on how to improve current
    practices where required.
  • Managing campaign resources and updating key stakeholders on requirements and supply.
  • Working across multiple projects and ensuring all parties are informed of progress and
    problems.
  • Building effective relationships with key departments and clients.
  • Own and facilitate the stand up and planning process of the studio.
  • Support the HOD and Communications team on the development and implementation of
    marketing campaigns, remaining in line with the IR brand to ensure consistency.
  • Interact and collaborate with team members to support the overall marketing strategy,
    assisting the team with day to day tasks and projects as required.
  • Support the annual planning process and strategy development.
  • Make recommendations on improvements and usability of digital assets such as the
    website and social media channels to improve digital marketing channels.
  • Oversee print and distribution of materials.
  • Engage with members of the wider IR family, such as partner offices and field offices, to
    facilitate the collection and sharing of high-quality material and campaigns.
  • Identifying opportunities to adjust and revise work processes in order to increase
    efficiency.
  • Preparing daily priority lists, weekly project status reports and project planning.
  • Regularly tracking and updating project statuses.
  • Developing work schedules for communications departments to ensure that projects and
    processes are on schedule.
  • Communicating potential problems to project teams and recommending solutions.
  • Creating timelines, instructions, and breakdowns for future projects.
  • Informing project teams of any updates and changes as and when they occur.
  • Creating and ensuring work flow for marketing/communications.
  • Supporting Communications HOD with ad hoc tasks.
  • Administrative support – liaising with external suppliers, printers and media houses.

Educational Qualification:

  • As an entry level candidate, you should show an aptitude for technology and creativity with either
    a creative-led degree or equivalent qualification.

 

Skills & Knowledge Required

  • Must have a passion for processes.
  • A creative flair, able to work in a fast-paced environment and be able to manage multiple
    project deliverables.
  • Solid people management and communication skills and have strong resourcing skills.
  • Possess great organisational competencies and be able to manage the creative process
    from start to finish.
